This Privacy Policy describes how Proper Pete Co., LLC (“Proper Pete Co.,” “we,” “us,” or “our”) collects, uses, and shares information in connection with properpete.com (the “Site”). It is intended to match what the Site actually does. If our practices change, we will update this policy.
Who we are

Scope
This policy covers the Site only — the public pages at properpete.com
and the contact-form endpoint at /api/contact.php
(including the Audio Identity brief on
audio.html). It
does not cover client engagements (those are governed by a separate
written agreement), email you send us outside the form except as
described below, or other websites in the Proper Pete Co. portfolio.
Portfolio brands operate under their own privacy policies unless they
expressly incorporate this one.
Information we collect

Contact form and Audio Identity brief. When you
submit a form on the Contact page or the Audio Identity page, we
collect your name, email address, optional company name, stated
interest, message content, and any brief fields you provide (brand
or product name, package, length, intended use, mood, lyrics or
talking points, timing, and acceptance of sample terms), plus
technical metadata (timestamp, IP address used for abuse prevention
and rate limiting, and user-agent). A hidden honeypot field may be
present to reduce spam; we do not use it to collect information from
people. Form submissions are emailed to our operations inbox
(
info@properpete.com) from an automated sender (forms@properpete.com). - Email, phone, and mail. If you contact us directly, we keep the correspondence and any details you provide for as long as needed to respond, run the relationship, or meet legal recordkeeping requirements.
- Server logs. Our hosting stack may log standard technical data such as IP address, request path, timestamp, referrer, and browser type for security, reliability, and abuse prevention. The contact-form endpoint also stores a hashed IP address temporarily to enforce a per-hour rate limit.
- Analytics. We run first-party analytics as described below.
- What we do not collect on this Site. The Site does not offer user accounts, does not process payments, does not run a newsletter or marketing list, and does not collect Social Security numbers, payment-card data, or government ID.
Cookies and similar technologies
The Site uses a small number of first-party cookies. It does not use marketing, advertising, or social-media tracking cookies, and it does not load third-party ad pixels.

Matomo analytics cookies (set on properpete.com by
our tracker). Typical names are
_pk_id.*(visitor identifier, often lasting many months) and_pk_ses.*(session, typically about 30 minutes). These cookies help us count visits and see which pages are used. We confirmed they are set on the live Site as of this policy’s date. -
Contact-form session cookie
(
ppc_contact). Set when the contact form loads a security token. It is a session cookie (expires when you close the browser), marked HttpOnly, Secure when the Site is served over HTTPS, and SameSite=Strict. It exists to prevent cross-site request forgery, not to profile you.
You can block or delete cookies in your browser. Blocking analytics cookies will not stop the Site from working. Blocking the contact-form cookie may prevent the form from submitting until you allow it or refresh.
Fonts and third-party requests from the page
Typefaces are self-hosted on this Site (Inter and Courier Prime).
Pages do not load fonts from Google or other third-party font CDNs.
The public pages request analytics scripts and tracking beacons from
our own Matomo host at hits.properpete.com.
Analytics
We use first-party analytics via Matomo hosted at
hits.properpete.com (site id 1), on infrastructure we
operate. Matomo may process page URLs, referrers, approximate visit
timing, basic device/browser data, and IP addresses. Matomo’s default
configuration masks part of the IP address; we have not independently
audited every Matomo admin setting for this policy, and we do not
claim that analytics data is anonymous.
We do not use third-party ad trackers on this Site. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
To opt out of Matomo tracking on this Site, email info@properpete.com and we will record your request and stop associating new analytics hits with you where we can reasonably do so. This Site’s tracker does not treat browser “Do Not Track” signals as an opt-out. If you use a content-blocker, it may already block the tracker.
How we use information
- Respond to inquiries and evaluate potential engagements
- Operate, secure, and improve the Site
- Prevent spam, fraud, and abuse
- Comply with law and enforce our terms
We do not use contact-form submissions to subscribe you to a newsletter or marketing list. Replies to an inquiry you sent are not marketing mail.
Sharing
We do not sell personal information. We disclose information only as follows:

Email operations. Contact-form messages and mail
sent to published addresses are processed on our self-hosted mail
system. Operational mail to
info@properpete.commay also be copied to a mailbox operated by a third-party email provider (Google) so the principal can read and respond. Google’s handling of that copy is governed by Google’s terms and privacy policy. We do not publish that third-party mailbox address. - Hosting and infrastructure. The Site, form endpoint, logs, and Matomo database run on a virtual private server we operate, currently provided by Hetzner. Hetzner acts as an infrastructure provider, not as a marketing partner.
- Legal and safety. We may disclose information when required by law or legal process, or to protect rights, security, or safety.
- Business transfer. If we reorganize, sell, or transfer the company or this Site, information associated with the Site may transfer as part of that transaction, subject to this policy or a successor notice.
We do not share Site analytics or contact-form data with advertising networks.
Retention
Contact-form and correspondence records are retained as long as reasonably necessary to respond, maintain business records, and meet legal obligations, then deleted or archived according to our practices. Rate-limit records are short-lived (on the order of hours). Server logs are rotated on a schedule determined by operational need. Matomo visit data is retained according to our Matomo configuration; you may ask us for the current retention window.
Security
We use reasonable administrative and technical measures appropriate to a brochure site and a self-hosted form endpoint, including HTTPS and access controls on the server. No method of transmission or storage is completely secure. If we are required by applicable law to notify you of a security incident involving your personal information, we will do so as required.
Your choices
To request access to or deletion of correspondence or contact-form data we hold about you, or to opt out of Matomo tracking, email info@properpete.com. We will respond in a reasonable time, subject to legal retention requirements and identity verification. We may decline requests that are unfounded, excessive, or that would interfere with security, fraud prevention, or legal obligations.
Children
The Site is a general-audience business site. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete it. If you believe a child under 13 submitted information, email info@properpete.com.
State privacy laws
Comprehensive U.S. state privacy statutes (including the Oregon Consumer Privacy Act and the California Consumer Privacy Act) generally apply only to businesses that meet revenue or data-volume thresholds, or that sell personal data. Based on this Site’s current scale and practices, we do not believe those statutes currently apply to Proper Pete Co., LLC as a “controller” or “business” for this Site. That is our present assessment, not a guarantee it will remain true. We do not sell personal information. If a law requires us to honor a privacy request, we will.
International visitors
The Site is operated by an Oregon company for a primarily U.S. audience. We do not target the Site as a market to residents of the European Economic Area, the United Kingdom, or Switzerland. If you access the Site or contact us from outside the United States, you understand we will process that information in the United States and on our hosting infrastructure in order to operate the Site and respond. This policy is not a claim that we comply with the EU GDPR, UK GDPR, or similar non-U.S. regimes, which may impose obligations we have not undertaken for this brochure Site.
Changes
We may update this policy. The “Last updated” date will change when we post a revision. If we make a material change to how we handle contact-form data — for example, starting a marketing list, adding advertising cookies, or selling personal information — we will update this policy before that change takes effect.
